Sheffield Aero Club Ltd Terms and Conditions
Vouchers issued by Sheffield Aero Club Ltd entitle the holder to the experience and products stated on the voucher supplied by Sheffield Aero club Ltd. Experience vouchers do not have a value stated on them and entitle the holder to the experience stated on them only, exchange for the value is not available. All vouchers carry a unique voucher number which must be quoted when dealing with Sheffield Aero club Ltd. Vouchers must be kept safely and securely and should be taken on the day of the experience and surrendered to Sheffield Aero club Ltd staff on the day of your flight. Sheffield Aero club Ltd will not be able to fulfil your experience if you do not surrender your voucher.
We recommend sending vouchers if requested by secure mail as they are not replaceable if lost. We cannot accept responsibility for any loss you may incur as a result of theft, impersonation or identity fraud. We recommend you take a copy of your voucher for your records by scan or photocopy. Vouchers are valuable documents and cannot be replaced if they are lost, damaged or stolen and are invalid if altered or tampered with. Sheffield Aero club Ltd accepts no liability in these circumstances.
The placing of an order constitutes your acceptance of Sheffield Aero Club Ltd Terms & Conditions of trading but does not constitute the creation of a contract. Sheffield Aero club Ltd reserves the right to decline to process an order for any reason whatsoever. For the protection of our customers and to ensure that your payment method is not being used without your consent, we will validate name, address and other personal information supplied by you during the order process against appropriate third party databases if we choose to. By accepting these terms and conditions you consent to such checks being made.
All information provided by you will be treated securely and strictly in accordance with the Data Protection Act 1998. All prices shown on the Sheffield Aero club Ltd website is in GBP and all transactions are conducted in GBP. If ordering from overseas or from a foreign currency account you may be charged fees by your bank to process the transaction. These fees are in addition to any prices on our website and are beyond our control.
Duplicate orders are sometimes inadvertently placed or despatched. We ask that you return any duplicates immediately or contact us for further instructions. Should both vouchers be used, we will be entitled to claim payment for the costs incurred.
Experience descriptions, format and timings given on Sheffield Aero Club Ltd website and in any other literature or advertisement are only intended to present a general idea of the experience, and shall not be considered binding. Photographs are for illustrative purposes only and may not represent the described experience.
As Sheffield Aero Club Ltd offers experiences, details such as session lengths, itineraries, and equipment used and numbers may vary. Briefing times within the Experience are aproximately ten to fifteen minutes. The remainder of the Experience time is then allocated to Flight time for Instructional Purposes. It should be noted that Flight time may varied upon conditions outside of our control e.g. inclement Weather.
If delays, curtailments and breakdowns are not within Sheffield Aero club Ltd control, we cannot be held liable if these should occur. Please note that we reserve the right to alter any part of the experience and its products where such an alteration has been imposed by the Pilot in Command during the flight or by Sheffield Aero Club Ltd staff. We cannot be held responsible for descriptions by or on any third party or agent sites. Experiences and products may occasionally be withdrawn for reasons outside of our control, and Sheffield Aero Club Ltd cannot be held liable for any costs incurred as a result of this. Should this occur, voucher holders will be advised and offered the opportunity to exchange your voucher for one with the same face value. If alternatives are available, no refunds can be offered. This does not extend to vouchers purchased from third parties.
Photography, Certificates and Video and Merchandise are separate products to all Flight Experiences with an independent value outside of the experience value. If Photography, Certificates and Video and Merchandise are included in the price of the experience it is complimentary and holds no value. Photography, Video and Merchandise purchased separately are subject to our refund policy.
If Photography, Certificates and Video and Merchandise are not available for presentation on the day of your experience, they will be sent to you by post within 4 weeks of the experience unless circumstances beyond our control result in an additional delay. The loss or technical malfunction of Photography or Video footage during your experience is not the responsibility of Sheffield Aero Club Ltd. We use equipment, fit for purpose for Photography, Certificates and Video and Merchandise.
The quality of the Photography, Certificates and Video and Merchandise may vary and be effected by factors beyond our control. If you are not happy with the result of your Photography, Certificates and Video and Merchandise please see our refund policy.
The voucher holder is free to book their preferred date within the voucher validity period of 12 months. Experiences are subject to availability and to weather conditions (we advise telephoning the main enquiries line 01909 475233 before you set out to confirm that the event/flight/products are available/ will take place).
To avoid disappointment we recommend that customers book well in advance, at least 4-6 weeks. During peak periods it may be necessary to allow a longer notice period although we may occasionally be able to fit in a booking at short notice. We recommend booking as early as possible as you must have booked your experience before the expiry date of your voucher. If you require an extension to this validity period, you may request a further period at a surcharge applied at the time of enquiry by Sheffield Aero Club Ltd. An administration fee of £20 will be charged for each voucher reissue if required. If your experience cost has risen since the purchase of your voucher, you must pay the difference.
We strongly advise that you do not make any travel, accommodation or other arrangements until you have received confirmation of your booking from us. For those who are travelling some distance to the venue, we recommend you advise the booking operator at the time of booking. We suggest you book an afternoon experience and book accommodation if required for the evening of the experience, due to possible cancellation of your experience on the date of your flight in particular with regards to weather or circumstances beyond our control. Once a date has been booked, your voucher will be deemed to be used at this point.
Experiences are subject to restrictions. These include (but are not limited to) age, height, weight, physical and medical restrictions, so please check before making your booking. Details of these restrictions are available from Sheffield Aero Club Ltd .It is your responsibility to ensure that you choose an experience appropriate for the intended recipient and it is the responsibility of the recipient to double check that the restrictions are not prohibitive. If you are unsure of the suitability please telephone our team and we will be happy to advise you.
Spectators are welcome to spectate free of charge, numbers unrestricted with free parking on site. At peak periods parking may be required to be taken off site as spaces are limited at the venue. Viewing area with fully licenced bar, restaurant and garden is on site for spectator viewing. Spectators are not eligible for the privileges to which a Guest Ticket Holder is entitled to. Dining numbers are restricted and should be advised at the time of booking. Special arrangements can be made for larger parties on or off site.
Private consumption of Food and Beverage on site is prohibited unless prior permission is granted by Sheffield Aero club Ltd. Children are welcome, those less than 16 years old must be accompanied by an Adult at all times.
Airfield and Hangar Tours are restricted Children under 10 years must be strictly supervised at the facility and will not be allowed to roam free or walk unsupervised outside of the Club House. Spectators, Guests and Voucher holders will be required to wear High Visibility clothing when on the airfield, hangars, taxiway and pathways of the facility without exception. Dogs welcome in the viewing garden only and must strictly be kept on leads.
Participants are advised to check with the centre when booking for further information on access, food and beverage and general facilities. Netherthorpe Airfield is operated by Sheffield Aero Club and guests will be required to adhere to the rules of the club at all times. These are available on site upon request. Sheffield Aero Club Ltd reserves the right to decline access or request guests of voucher holders to leave the facility for any reason whatsoever.
We reserve the right to vary the prices of the experiences which we offer. Sheffield Aero club Ltd current experience prices may differ from the value of your face value voucher.
All Voucher costs are inclusive of postage by Royal Mail First Class Delivery. If you require Special Delivery Next Day or an alternative you will be subject to additional postage charges, these will be advised at the time of booking. Sheffield Aero Club Ltd cannot be held responsible for any goods damaged in the post or any postal delays.
The voucher validity period is 12 months from date of purchase unless otherwise stated. Your date of purchase is advised on the voucher as part of the voucher Number. Experiences must be booked prior to the expiry date of the voucher, otherwise the voucher will be deemed to be invalid and no liability will be accepted by Sheffield Aero Club Ltd.
Experience vouchers can be exchanged without incurring a fee, up to the value of the experience at the time of the booking subject to the restrictions below. An administration fee of £20 will be charged for each voucher reissue if required. If your chosen experience costs more than the value of your original experience, you must pay the difference. If your chosen experience is cheaper, we will not issue a refund. If you wish to combine or merge vouchers, as part of the exchange process, then this can be arranged subject to the following conditions; you can merge two or more Vouchers for an administration fee of £20; if they have different expiry dates then the earlier expiry date is carried forward onto the replacement voucher, not the later date; only vouchers purchased from Sheffield Aero club Ltd may be merged together; you may not merge any Vouchers previously merged or exchanged.
Vouchers cannot be exchanged for promotional products (a promotional product refers to a voucher which was sold at a discounted price or as part of a special offer, whether or not this is stated on the voucher)
A full refund is available, as long as your Voucher is returned to us within 7 working days of receipt, if bought directly from Sheffield Aero Club Ltd. A refund can only be made to the purchaser and if payment was originally made by credit/debit card the refund will be made to the same card. A refund cannot be given once a booking has been made or flight has been taken or for extended, expired or exchanged Vouchers. Refunds are not given for mailing, fulfilment and express carriage charges. Photography, Video and Personalised Merchandise are only eligible for refund if it is mutually agreed to be unfit and of a poor quality once it is received by the voucher holder.
A voucher purchased through a retailer or other reseller will be subject to that retailer’s own refund policy and enquiries must be made directly to them: we cannot refund items purchased from a retailer or other resellers. All transactions are in GBP. Sheffield Aero Club Ltd is not liable for any fees imposed by your bank, building society or any other third party organisation as a result of placing an order. Sheffield Aero Club Ltd will not reimburse losses arising from such fees or conversions and will refund only the amount received in GBP at time of order.
The cost of returning your voucher for exchange or refund will not be borne by Sheffield Aero Club Ltd and we strongly recommend that a secure delivery service such as Royal Mail Special Delivery (with postal insurance as appropriate) is used as Vouchers cannot be exchanged or refunded until are received by us.
We welcome your feedback on all of our experiences. If you encounter a problem on the day, please immediately bring it to the attention of the Sheffield Aero Club Ltd staff on the day of your experience, so that we have a chance to put matters right. If you have attempted resolution but the problem was not resolved on the day, please write to us within a week of your experience (providing your voucher number, participant’s name, and flight date and time and venue details, including who you spoke to on the day) and we will be happy to take the matter up.

By purchasing or redeeming a Sheffield Aero Club Ltd Voucher you acknowledge that experiences are dependent on certain factors beyond the control of Sheffield Aero Club Ltd and agree that Sheffield Aero Club Ltd is not liable for the cancellation, postponement or alteration of any experience for reasons beyond its reasonable control (including but not limited to weather-related reasons, mechanical failure, or otherwise). Within the voucher pack is detailed the weather checking procedure, however weather factors in particular can vary throughout the course of the day and often general weather forecasts are not suitable. Therefore more applicable aviation weather forecasts are referred to by our Pilots who will make the decision to fly each experience.
The sole discretion is with the Pilot at all times. We strongly advise you call ahead before you set off to check the weather conditions for your flight. If an experience is cancelled by Sheffield Aero Club Ltd either before or on the day of the event due to circumstances beyond our control, you should expect to make another booking for a later mutually agreed date and time. Please note that experiences and other products are subject to change without notice. This does not affect your statutory rights. Sheffield Aero Club Ltd will arrange to re-book the experience at a mutually agreed time and date.
Sheffield Aero Club Ltd cannot be held liable for any costs including (but not limited to) travel expenses or pre-booked accommodation costs incurred by the participant and guests in the event of a cancellation and Sheffield Aero Club Ltd total liability for any claim shall be limited to the price paid for the experience.
Once you make a booking with Sheffield Aero Club Ltd you are bound by our terms and conditions. If you are forced to change or cancel a booking you must provide 48 hours notice to Sheffield Aero Club Ltd . If you are forced to cancel a booking owing to circumstances beyond your control within the 48 hour period, it will be left to the discretion of Sheffield Aero Club Ltd if a booking will be re-booked for a later date. Failure to attend without notice will deem your Voucher used and you will be unable to re-book your flight.
Sheffield Aero Club Ltd holds current Liability Insurance covering participating voucher holders against damage to equipment they use, and against liabilities to third parties, subject to limits and compliance with Sheffield Aero Club's rules, terms and conditions, which may vary from time of voucher purchase to experience date.
These may have restrictions including (but not limited to) dates and times of use, validity periods and experience range or content so please be sure to check these before purchasing and telephone our enquiries line if you are in any doubt. Competition Prizes, Special Offers and Promotional Offers cannot be refunded or extended unless otherwise specified. (A promotional product refers to a voucher which was sold at a discounted price or as part of a special offer, whether or not this is stated on the voucher).
A person who is not named on the face of the voucher or recorded as the purchaser by Sheffield Aero Club Ltd has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any terms and conditions of booking. A Voucher which has been re-sold (for example, through internet auction sites or by any other means) without our prior consent will be considered invalid. Sheffield Aero Club Ltd will not be under any obligation to provide any service.
Please note that we have the ability to retain any data that you provide on this website and can be used to contact you regarding our company promotions, matters relating to your order and changes we need to inform you about. We will never pass your details on to any third party for marketing.
These terms and conditions do not affect your statutory rights as a consumer, and are governed by and in accordance with English law. The purchaser of a Voucher and/or the participant in an experience agrees to the jurisdiction of the English courts. All the clauses and sub clauses in Sheffield Aero Club Ltd terms and conditions are independent of each other. If one clause or sub clause is invalid or unenforceable, this will not affect any other clause or sub clause. These terms & conditions are subject to change.
